Here you will find an overview of how you can manage the evaluation process.


Preparation

About 6-8 weeks before the start of the assessment procedure, you will receive an e-mail from us with all the important information. The e-mail contains the following files:

  • Setup data sheet in which you define the deadlines and the evaluation form

  • Import template for reviewers, in which you can mark the topics to be evaluated

Add missing abstracts

Before the assignment procedure, clarify whether certain abstracts are missing. If this is the case, you can use this method to submit abstracts at a later date.

Assigning an abstract retrospectively

Here you will find instructions on how to assign subsequently submitted abstracts to reviewers:

Replace reviewer

Change assignment in case of bias

If a reviewer cannot rate an abstract due to bias, you can use this option to change the assignment.

Extend deadline

Approximately 1-3 working days before the deadline, Smart Abstract sends a reminder to all reviewers who have not yet completed 100% of the assessment.
If the deadline has been reached but not all abstracts have been evaluated, you can extend the deadline in this way.

Export evaluation results

As soon as the evaluation process is complete, you can export the results in various formats.

Record acceptance and rejection decisions

Once the decisions to accept or reject have been made, they must be transferred to the system.
